1. Booking & Payment

Expeditions should be booked at least three months in advance to allow sufficient time for permits, staffing, and logistics. A deposit is required to confirm your booking, with the remaining balance due in staged instalments ahead of arrival in Nepal, as agreed at the time of booking.

2. Cancellations & Refunds

Cancellations must be submitted to us in writing. Refunds are calculated on a sliding scale based on how much notice is given before departure, with deposits already committed toward permits, staff, and logistics generally non-refundable. Once an expedition has begun, no refunds are issued for unused services or an early finish. We strongly recommend trip cancellation cover as part of your travel insurance.

3. Documentation & Fitness to Climb

Clients must provide a valid passport copy, passport-sized photographs, and any required booking forms in advance of departure. For high-altitude expeditions, a medical certificate confirming fitness to climb, along with a summary of prior mountaineering experience, must be submitted before final confirmation. Incomplete documentation may delay or affect your participation.

4. Travel Insurance

Comprehensive travel insurance is mandatory for all clients, and must cover medical treatment, high-altitude rescue and evacuation, and trip cancellation, with no altitude restriction below your expedition's summit height. A copy of your policy must be shared with us prior to arrival.

As a foreign national cannot be insured by Nepali insurance companies, we recommend our clients to get internationally recognized insurance package.

5. Risk, Responsibility & Authority on the Mountain

Mountaineering and high-altitude trekking carry inherent risks, including altitude illness, adverse weather, and hazards of remote terrain, and clients take part with full awareness and acceptance of these risks. The expedition leader or guide holds final authority on all safety-related decisions during the trip, and clients agree to follow their instructions at all times.

6. Itinerary Changes & Force Majeure

Itineraries may need to be adjusted due to weather, route conditions, or circumstances beyond our control. Where changes are requested by a client, or made necessary by events outside our control, any additional costs will be discussed and agreed upon directly with the client.

7. Flights, Transfers & Delays

Domestic and international flights connected to your expedition may be delayed or rescheduled due to weather or operational conditions beyond our control. We recommend building in contingency days around your travel dates, particularly where a domestic connection precedes an international departure.

8. Conduct, Local Laws & Non-Transferable Services

Clients are expected to comply with local laws and customs throughout the trip. All services booked are arranged for the named participant and cannot be transferred or reassigned to another person. Serious misconduct may result in removal from the expedition without refund.

9. Equipment & Media

Any equipment supplied by Global Expedition must be returned in good condition at the end of the trip, with damage charged at cost. We may request permission to use client photographs or video footage for promotional purposes, and will always respect your privacy in doing so.

10. Age Requirements

In line with Nepal's mountaineering regulations, climbers must be at least sixteen years of age to attempt a mountain peak. Trekking participants under sixteen are welcome when accompanied by a legal guardian.
